ROLE SUMMARY

  • Executive Assistant to the Owner and Managing Director
  • Five days per week with a three month probation period
  • Hours: 8 hours per day, excluding lunch, core hours are 9.30am – 6.00pm
  • Holidays: 4 weeks per year, plus public holidays Remuneration: £25,000

THE COMPANY

Dunsar Media is an independent political news provider for the global world of sport. The flagship product is insidethegames.biz, the world’s leading news website covering the politics of the Olympics, Paralympics, Commonwealth Games as well as Continental Games and key championships.

We are a small company and every member plays a crucial role. Our editorial team spend a lot of time overseas at events, as do our commercial team.

Our company has grown very rapidly over the past five years and we are now looking for an intelligent, energetic and switched-on individual who will enjoy supporting the owner, working on a range of projects that will help the company grow as well as make the company more efficient.

KEY DUTIES AND TASKS

The key to success in this role is self-motivation, a can-do attitude and entrepreneurial spirit. You need to be able to work on your own, plan your day and work in total partnership with the owner.

Executive support: Primarily, this role is about giving the owner/Managing Director whatever support is necessary to get the job done. This will include travel arrangements including visa applications, workload management and tasks such as organising accreditations for events, director’s expenses, award entries, team parties and managing the small office in Bletchley.

Client Liaison: Ensuring all client contracts are delivered correctly. This includes managing the advert calendar and CRM and liaising with clients to ensure the correct advertisements are in the right place across our platforms, that orders are being fulfilled and that the right contracts have been signed, plus relevant reporting to the client. Liaising with the web team to ensure that the adverts are always correct, liaising with the accounts team to ensure that invoices are being sent in a timely fashion to our clients, liaising with the client in the director’s absence and liaising with the editorial team.

Business Development: Supporting the owner and the Commercial Director in preparing proposals for clients. Organising occasional PR campaigns. Ensuring monthly statistics are reported. First port of call of incoming enquiries.

Human Resources: It is a very small team and HR is outsourced. You would need to manage the HR records, holidays, team expenses, recruitment, including on social media, training and staff development, staff reviews and contracts with external HR consultant.

Publishing: We produce all our magazines from scratch in our offices with the help of very good and reliable suppliers. The owner personally works on the magazines and oversees their publication. You would manage the publishing schedule and suppliers for our printed publications and liaise with the client to ensure successful delivery of each publication, including managing the mailing lists.

Supplier and Freelancer Liaison: Managing all supplier and freelancer contracts and their implementation.

PERSON SPECIFICATION

  • Above all, you need to be self-motivated, enthusiastic, very organised, a great planner with a can-do attitude and a sunny personality. The owner and editor in chief have extremely high quality standards and attention to detail. It's what gives the product its place in the market. They also have a great sense of humour and appreciation of the effort made by the team.
  • A level of education and career experience consistent with the remuneration offered. You will likely have a good degree and will have some experience working as an executive assistant. You are likely to be interested in either or both of the world of publishing and sports politics.
  • You will have excellent written and interpersonal skills - as you will be liaising directly with our clients and presenting our company in a professional manner.
  • High attention to detail is essential - we have very high quality standards.
  • Highly confident IT user. Excellent working knowledge of Microsoft Office 365, ideally including its programmes, platforms and intranets, although training could be given to the right candidate.
  • A sense of personal accountability to deliver on your commitments is vital. You need to be very willing to roll up your sleeves and get things done. We work very hard at Dunsar Media, and we are often abroad, so you will need to be able to deal with different time zones and not be a clock-watcher.
  • You do not panic when all the balls are in the air.
